Job Description
The IT Procurement and Asset Management Specialist is responsible for managing IT-related orders in eProcurement, overseeing the receipt of orders, and tracking equipment upon delivery. Additionally, this role involves creating and maintaining spreadsheets, documents, and reports for management reviews. The specialist will collaborate with purchasing, accounts payable, and budget departments to ensure proper coding on orders, CNTR005 payable requests, and budget codes. Furthermore, the position will assist with asset tracking and the disposal of surplus equipment.
Managment Preference:
The ideal candidate will possess familiarity with the State NCAS system and have experience creating CNTR005 requests. Strong IT background and knowledge of equipment and vendor support contracts are desirable, along with an understanding of State Construction Office policies and procedures.
Roles and Responsibilities
Responsibilities:
- Enter IT-related orders in the eProcurement system, ensuring accuracy and adherence to procurement policies and guidelines.
- Receive and track equipment orders in the eProcurement system, maintaining up-to-date records of delivery status and locations.
- Create and maintain spreadsheets, documents, and reports for management reviews, ensuring data accuracy and timeliness.
- Collaborate with purchasing, accounts payable, and budget departments to ensure proper coding on orders, CNTR005 payable requests, and budget codes.
- Assist with asset tracking, including the tagging, inventory management, and maintenance of IT assets throughout their lifecycle.
- Coordinate the disposal of surplus equipment, following established guidelines and procedures.
- Stay updated on relevant state policies, regulations, and
- procedures related to IT procurement and asset management.
- Communicate and coordinate with vendors, internal stakeholders, and cross-functional teams to resolve
- procurement and asset-related issues.
- Provide support and guidance to staff members regarding IT procurement and asset management processes.
- Maintain confidentiality and handle sensitive information in a professional and secure manner.
Experience
Basic Qualifications:
- High school diploma or equivalent required; bachelor’s degree in a relevant field preferred.
- Proven experience with IT procurement and asset management processes.
- Familiarity with eProcurement systems and experience entering and tracking orders.
- Proficiency in using spreadsheet software (e.g., Excel) and other relevant tools for data management and reporting.
- Strong organizational skills with meticulous attention to detail.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders.
- Knowledge of IT equipment and vendor support contracts is highly desirable.
- Familiarity with State NCAS system and creating CNTR005 requests is preferred.
- Understanding of State Construction Office policies and procedures is a plus.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Discretion in handling confidential information and maintaining data integrity.
